When you meet your group at the airport, bags packed and passport safely tucked away, it may feel as though your adventure is just beginning.

For us, however, that departure day is the culmination of months, and sometimes years, of planning, preparation and teamwork.

Every Different Travel trip involves far more than booking flights and choosing somewhere to stay. From working with our local partners to preparing your Tour Manager, here is a glimpse at what happens behind the scenes before your trip departs.

It starts with the right itinerary

Long before a trip appears on our website, we work closely with trusted local partners to develop an itinerary that offers the right balance of challenge, discovery and cultural immersion.

We look carefully at the route, accommodation, transport, meals and daily activities. For trekking challenges, this also means considering walking distances, elevation, terrain and opportunities for acclimatisation.

We want each trip to feel like a genuine adventure while also being realistic about what participants can expect. That is why our itineraries include practical details such as approximate walking times, altitude gains and losses, accommodation standards and the facilities available along the way.

Working with our local partners

Our local partners are an essential part of every adventure. They know the destination, understand the conditions on the ground and provide the local knowledge that makes each experience possible.

In the lead-up to departure, we confirm everything from accommodation and transfers to guides, porters, drivers, meals and special arrangements. We also discuss any changes that might affect the trip, such as alterations to walking routes, local events or updated entry requirements.

These conversations continue right up until departure. Travel rarely stands still, so maintaining close relationships with our partners helps us respond when something changes.

Keeping an eye on the details

There are countless practical details involved in preparing a group trip.

We monitor flight schedules, check passport and visa requirements, review destination advice and make sure the arrangements still match the needs of the group. We also keep an eye on any operational updates that could affect the itinerary.

At the same time, our team is working through passenger information, dietary requirements, insurance details, emergency contacts and relevant medical information.

Some of this work is highly visible to participants through emails and trip updates. Much of it happens quietly in the background, but every detail contributes to a smoother and better-prepared experience.

Helping participants get ready

Preparing for an adventure can feel exciting, but we know it can also feel a little daunting.

What should you pack? How fit do you need to be? What will the accommodation be like? Will there be somewhere to charge your phone? What happens if you have a dietary requirement?

Before departure, participants receive detailed information covering areas such as fitness and training, health, safety, luggage, food and drink, local customs and responsible travel. We also provide kit guidance tailored to the destination and the type of challenge involved.

Our team is on hand to answer questions along the way. There is no such thing as a silly question, particularly when it helps someone arrive feeling more confident and prepared.

Selecting and preparing the Tour Manager

Most Different Travel groups are accompanied by one of our experienced Tour Managers.

We carefully consider which Tour Manager is the right fit for each departure, taking into account the destination, the nature of the challenge and the needs of the group.

Before travelling, the Tour Manager receives a comprehensive trip pack containing the information they need to support the group. They are briefed on the itinerary, participant requirements, local arrangements and any points requiring particular attention.

They will also liaise with the Different Travel team before departure so that everyone has the same information and understands the plans in place.

Once the trip begins, the Tour Manager works alongside the local team. While the local guides bring their expert knowledge of the destination, the Tour Manager provides an additional link between the participants, our local partners and the Different Travel office.

Preparing for the unexpected

Adventure travel does not always follow a perfectly predictable path. Weather, transport disruption and local conditions can all affect a carefully planned itinerary.

Part of our preparation involves considering what could change and how different situations might be managed. Risk assessments and emergency procedures are reviewed, important contact information is checked and the team makes sure appropriate support is available.

Not every eventuality can be predicted, but thoughtful preparation helps us make informed decisions if plans need to change.

The final countdown

As departure approaches, the different parts of the trip begin to come together.

Final participant information is checked, arrangements are reconfirmed with our local partner and the Tour Manager receives the latest details. Participants are sent their final information and any last-minute reminders.

There may also be questions to answer, documents to chase and updates to share. Behind the scenes, several members of the Different Travel team may be involved in making sure everything is ready.

Then, finally, departure day arrives.

The people behind every adventure

A Different Travel trip is never the work of just one person.

It is the result of collaboration between our office team, local partners, guides, drivers, accommodation providers, Tour Managers, charities and, of course, the participants themselves.

By the time you meet your fellow travellers at the airport, a great deal has already happened to bring that moment together.
